AI CRM for small service businesses
The CRM that remembers what you forget.
Email, quotes, appointments, loose notes. It all gets scattered. Sirob reads along with your business mailbox, builds your customer profiles, creates the tasks that follow and has the reply ready. You read it through and press send.
Made by Boris
Running every day in my own business since July.
Saxion Ondernemers Awards, Novel-T Start Programme completed.
The problem
Do you remember exactly what you did for each customer last month?
I see it in my own business: customer information gets scattered. One job is in my email, an appointment in my calendar, a price in a quote, a note on a scrap of paper. Within a few weeks I no longer know exactly what we agreed, which options we discussed or where I had got to. That is why I am building Sirob. I would like to know if it works the same way for you.
That quote from 6 weeks ago, where was it again?
Did I call that customer back or not?
What price did I give this customer again?
What did we last agree with this customer?
The solution
A CRM that keeps itself up to date.
Sirob reads along with your business mailbox and builds your customer records from it. No forms to fill in, no double admin. Sirob does the groundwork, you keep the decision.
Sirob reads along
Every incoming email is read: which customer it belongs to, what was agreed, what needs to happen. Without you clicking anything.
The reply is already there
When a question comes in, Sirob writes the reply in your writing style, with the prices and terms from your own knowledge base. You read it through, change what you need to and send it. Sirob never sends anything on its own.
Always up to date
Customer profiles fill themselves in from what was actually said. You do not have to update anything, and you can confirm or discard every fact Sirob works out.
Searchable like Google
Ask your question in plain language. "What did I charge Jansen last year?" and you get an answer from your own email, documents and profiles, with the source.
Tasks that create themselves
If an email promises something for next week, the task is there with the right date and the right customer. Including what was promised and finished before.
Calendar, quotes and invoices
Your Google or Microsoft calendar is connected, so Sirob only suggests times when you are really free. It creates quotes and invoices as drafts in your own Moneybird.
Current status
What works, and what is not there yet.
Sirob has been running every working day in my own business since July, on my own customers and my own mailbox. I use everything on the left myself, every day. The right shows what is not there yet, so you know exactly what you are getting into.
Works today
- Reads along with your business mailbox, also with several mailboxes side by side.
- Customer and company profiles that keep themselves up to date from what was actually emailed.
- Draft replies in your writing style, always for your review first.
- Tasks with a deadline, picked out of your email automatically.
- A knowledge base of your own documents and your own website that feeds the replies.
- Your Google or Microsoft calendar connected, including the times you are really free. If the connection falters it recovers by itself, and if you need to reconnect you see that straight away.
- Record or upload conversations, with a transcript and meeting notes with action items, for you to check first.
- A clear notice when an email does not arrive, with the reason.
- Quotes and invoices as drafts in your own Moneybird.
- Several employees, each with their own permissions, signature and preferences.
- Installable on your phone as an app, with notifications.
- Spam detection with its own spam inbox.
Not yet, but planned
- WhatsApp. The design is ready, but it is waiting on approval from Meta. I am deliberately not putting a date on it.
- Calling from within Sirob, with a summary and action items afterwards.
- Forms on your own website that come straight in as leads.
- Connections with accounting packages other than Moneybird.
Is there something here you need first? Tell me on the call. What pilot users ask for, I build sooner.
How it works
Up and running in three steps.
-
Connect your mailbox
Five minutes of work. You choose how much history it takes in, and your data stays yours.
-
Sirob reads along and builds up
In the background. You see profiles, tasks and drafts appear while you carry on working.
-
You review and send
Everything Sirob comes up with lands in one queue. You approve, change or discard it. Nothing goes out without you.
The honest story
What to expect if you join now.
Where I stand now
- Sirob works and runs daily in my own business. This is not a pitch for an idea.
- I am looking for a small number of pilot companies. The first ten pay no joining fee.
- You get me, the builder, on the line, not a salesperson. What you miss, I build sooner.
What I will not do
- I will not promise you features that do not exist yet. See the current status above.
- I will not lock you into an annual contract.
- I will not call you ten times with follow-up offers.
Apply for a pilot spot
Thirty minutes. I show you what runs on my own mailbox, you tell me where your admin breaks down. After that we both know if it is a fit.
I personally guide at most 10 pilot companies. 10 spots left.
Frequently asked questions
Good to know.
What works today?
Sirob reads along with your business mailbox, keeps customer and company profiles up to date, creates tasks with a deadline, writes draft replies in your style, searches your own documents and website, connects to your Google or Microsoft calendar and creates quotes and invoices as drafts in Moneybird. You can put it on your phone as an app. I use all of this myself, every working day. The full list is under Current status.
Do I still have to enter data myself?
Almost nothing. Sirob reads along with your business mailbox in the background. Customer profiles, company details, tasks and the latest status build themselves from what was actually said. You can always correct it: you can confirm or discard every fact Sirob works out.
Does the AI make decisions that affect customers on its own?
No. Sirob prepares drafts, such as a quote, an invoice or a reply to an email, and has them ready for you. You check them and press send yourself. You can turn on automatic sending yourself with a confidence threshold, but that is off by default.
How safe is my business and customer data?
Everything runs on European servers and every company gets its own separate database. Your email passwords are stored encrypted, every action is logged, and your data is never used to train AI models. You can export everything or have it deleted at any time. The data processing agreement and the record of processing activities are ready; see also the privacy statement.
What kind of companies is this made for?
For service businesses of roughly five to fifty people who do most of their customer contact by email: installation and maintenance companies, agencies, advisers, practices. What they have in common is that the real work happens outside or at the customer’s, and the admin has to be done in between. I am building it in my own agency, so I know this type of business from the inside.
Can I use Sirob through WhatsApp?
Not yet. The design is ready, but offering WhatsApp for business requires approval from Meta and that is where it is stuck. I am deliberately not putting a date on it, because I would be making it up. Everything you see now works through email, the web app and the app on your phone.
What does it cost?
During the pilot phase I discuss the price in person, because it depends on the number of employees and how much email goes through it. What I can already say: the first ten companies pay no joining fee, there is no annual contract, and you pay for AI usage from a balance that you top up yourself, so there are never any surprises.
Who is behind Sirob CRM?
That is me, Boris Kusters, from Enschede. I run Marketing Maatwerk (websites, from design to maintenance) and build Sirob alongside it. With this idea I was selected for the Saxion Ondernemers Awards programme and I completed the Novel-T Start Programme. More importantly: I am the first user myself. Anything that does not work, I run into first.
I only want to get rid of my spam. Is that possible?
Yes. I built Spamwacht for that. You connect your existing mailbox and Spamwacht moves spam and phishing to a quarantine folder, while you simply keep working in your own email program. It works with IMAP mailboxes and Google Workspace, not yet with Microsoft 365. If you also want your customer contact, tasks and replies in one place, Sirob is there for that; the spam detection is already built in.
Let's talk
Thirty minutes, and you know if it is a fit.
I take on a small number of pilot companies because I want to guide each one personally. I show you live what runs on my own mailbox, you tell me where your admin breaks down.
